Details of Application for JCR Grants for 2002-2003:

What the society does

The society has two distinct purposes, one in a general society related way, to organise meetings to discuss computers, and organise events, such as talks, and perhaps gaming sessions. The second is the running of hal.trinhall.cam.ac.uk, which is the student-run webserver in Trinity Hall. This webserver is (or shortly will be....) the property of Society, being donated by the founding members for prosperity. The society will need to run and maintain this if funds permit, so that users (including both members and non members of the society, and other societies) can use it.
Hal currently provides the webspace for the JCR, and in the near future for JCRNEWS. We also host the following societies and organistations in the college: The Chapel, THEFT, The Waterpolo team, The Trinity Hall Buffy the Vamprie Slayer Society (!?), and the Trintiy Hall Music Society. We also have websites for around 15 Trinity Hall students, and over 35 people use the hal computer for various tasks.

Hal related expenses

Here again there are two areas of expenditure, one is to purchase spare parts and effect repairs in the event of a failure of hal. Hal is a fairly new computer (24 months old) and so shouldn't require large maintenance expenditure in the near future. The second area of expenditure is to upgrade hal if it becomes to old to perform its tasks. This shouldn't be required for at least 3 years, and when it is can be effected on a gradual basis.

Having taken these factors into account we would like to ask for the following from the JCR. We propose that the JCR gives the comptuer society a grant of £50 per year if this can be afforded to operate and upgrade hal. This money will be kept for the 1st 3 years to establish a fund form which emergency repairs can be effected should they be nesscessary. Our predictions show that no single component failure will result in an expenditure of over £150 to repair hal. The average cost of a component failure would be around £40 (details of how we arrive at such estimates available on request). We think that repairs will be required once every 2 years or so. After 3 years the £50 a year would be used to build up money to upgrade hal when it becomes out-dated.

There exists the possibility of a major failure in the next 2 years requiring us to spend upto £100 we wouldn't have. It might be nice if the JCR could pay for this if there are no other means at our disposal (it is likely the members could come up with the required spares between them).

We will also try to get donations from members to support these activities.

"Society" related expenses

We might need to book rooms, have publicity, and possibly purchase small items of equipment, etc. We expect to spend around £25 on this in the upcoming year.

Summary

We would like £50 a year to run hal, and £25 a year for promotion, and society related things. This gives a grand total of £75.
